The complete broker document request checklist

Start every document request with a core pack covering identity, income, assets, liabilities, expenses and the transaction. Then add only the checklist that matches the applicant’s employment, entity and loan scenario. Confirm currency and lender policy before sending, provide secure upload instructions, and review every document for completeness and unnecessary identifiers.

The right checklist changes with the client

A salaried employee with a cash deposit does not need the same request as a company director receiving wages and trust distributions. Sending both people the same master list creates noise, unnecessary collection and more follow-up.

This article is a practical starting point, not a universal lender policy.

ANZ, CommBank, NAB and Westpac public guidance shows meaningful differences in acceptable income evidence, document age and the number of financial years requested. Lender requirements can also change with the loan-to-value ratio, product, applicant, income type, entity, property and credit policy.

Before sending a request:

  1. identify the likely scenario and lender-policy path;
  2. check the current aggregator and lender requirements;
  3. confirm whether an alternative digital verification source is accepted;
  4. collect only what is needed for the approved process; and
  5. use a secure document channel.

Then add the branch that matches the applicant

Add only the group that applies. A person can match more than one — a company director with an investment property needs the company group and the rental group, not the sole-trader group.

PAYG full-time or part-time employee8

Check that each payslip shows the applicant’s name, employer, pay period, gross and net income, tax and the year-to-date values the lender expects.

PAYG casual, temporary or contract employee6

These applicants may need evidence covering a longer period. ANZ’s current public checklist, for example, distinguishes full and part-time income history from casual. Treat that as one lender’s published position, not a universal rule.

Self-employed sole trader9

Do not tell a client to amend or restructure accounts for lending purposes. The broker should understand the evidence and lender policy; tax and accounting advice belongs with the appropriate adviser.

Partnership applicant or income source8

The lender may request evidence based on ownership percentage, and on whether partnership income is required for servicing.

Company director or shareholder11

ANZ currently publishes a streamlined verification path for some self-employed directors receiving regular company wages, subject to its eligibility rules. Do not assume that pathway applies to every company owner or lender.

Trust income, or a company acting as trustee13

First establish the trust’s role: is the trust borrowing, providing income, or acting through a corporate trustee, and are the applicants beneficiaries, directors, shareholders or guarantors? A “family trust” label does not by itself explain who earns, owns, borrows or guarantees.

The accepted source and the shading applied to rental income are lender-policy questions.

Only request evidence for income the broker intends to consider.

Employment, entity and income-type branches. Public lender positions differ on almost every line here, so treat each item as a prompt to check the selected policy rather than as a rule.

The document quality gate

A tick should have a defined meaning. One generic “complete” box hides too much — an item can be requested, received, reviewed, in need of clarification, accepted for the current lender path, or superseded, and those are different states owned by different people.

  • Decide whether an alternative document is acceptable

  • Review authenticity and consistency

  • Resolve contradictions

  • Decide whether information is sufficient

  • Approve the file for the next consequential step

Start with the core pack, add the applicant and entity branch, then check the lender’s current requirements. Make every box describe a real state, and keep documents inside the approved secure process.

That produces a shorter request and a clearer file.

Common questions

How many payslips does a mortgage broker need?
It depends on the lender, employment type, year-to-date history and how income is verified. Current public lender guidance differs, so check the selected policy rather than putting one universal number in every request.
Do self-employed applicants always need two years of financials?
No. Public lender policies vary, and some streamlined pathways may accept different evidence for eligible applicants. Confirm the business structure, ownership, income relied upon, document age and selected lender.
Does a trust applicant need the trust deed?
Often, particularly where the trust is borrowing, holding assets or providing income, but requirements vary. Also obtain amendments, and map the trustee, beneficiaries, guarantors and related entities where relevant.
Can clients email documents to their broker?
Use the brokerage’s approved secure process. Ordinary email may not provide the access, transmission and retention controls appropriate for identity and financial documents.
Does receiving every document mean the file is ready?
No. Documents need to be complete, current, readable, relevant, consistent and acceptable for the intended lender path. Contradictions and missing evidence still require review.
Should a broker collect everything just in case?
No. Collect what is reasonably necessary for the approved process and scenario. Excess collection increases client effort and the amount of personal information the brokerage must protect.
